  • Property Data: Building names, addresses, unit details
  • Contract Information: Tenant names, rental amounts, payment schedules, contract dates
  • Payment Data: Payment records (we do NOT store credit card numbers or banking credentials)
  • Document Uploads: Rental contracts (PDFs) that you voluntarily upload

3.2 Automatically Collected Data

  • Usage Data: Pages visited, features used, time spent in app
  • Device Information: Browser type, operating system, device type
  • Log Data: IP address, access times, error logs (for security and debugging)
  • Cookies: Authentication tokens, language preference, session management

3.3 AI Processing Data

When you use our PDF contract extraction feature powered by Google Gemini AI:

  • Contract PDFs are temporarily uploaded to Google Cloud servers
  • PDFs are processed to extract text data (tenant names, amounts, dates)
  • Google does NOT store your PDFs or use them to train AI models
  • Extracted data is stored in your secure RentalArt database
  • You can delete PDFs and extracted data at any time

4. How We Use Your Information

4.1 Primary Purposes

  • Service Delivery: Provide rental property management features
  • Account Management: Authenticate users, manage profiles
  • Contract Management: Store, display, and organize rental contracts
  • Payment Tracking: Display payment schedules and status
  • Notifications: Send payment reminders, contract expiration alerts
  • AI Extraction: Process PDFs to auto-extract contract data

4.2 Secondary Purposes

  • Security: Detect and prevent fraud, unauthorized access, abuse
  • Improvement: Analyze usage patterns to enhance features
  • Support: Respond to customer inquiries and technical issues
  • Compliance: Meet legal obligations, tax requirements, audits
  • Communication: Send important updates, security alerts (not marketing)

5. Data Sharing and Third Parties

5.1 Service Providers

We share data with trusted third-party providers:

  • Cloudflare (Application, API & Security): Delivers the frontend and Worker API, processes authentication requests, and provides network security services.
  • Neon (PostgreSQL Database): Stores application, account, and session records used by the Worker API.
  • Google Cloud (AI Processing): Processes PDF contracts for data extraction via Gemini API. Does NOT store or train on your data. ISO 27001, SOC 2, GDPR compliant.

5.2 We Do NOT Share Data With

  • ❌ Advertisers or marketing companies
  • ❌ Data brokers or analytics firms
  • ❌ Social medisoftwares
  • ❌ Any third party for purposes other than service delivery
